How to Book a Room

When at the Main Booking Page:

  1. Select the day that you would like to book the room
  2. Select a room and click an open time in that column
  3. Fill in all fields:
    • Group Name
    • Group code (4 characters)
    • Duration
    • Institution
    • Student ID &
    • Network Password
  4. Click on Create group
  5. An incomplete booking is shown by the word “open” in grey in the booking calendar
  6. For group study room bookings, one or two additional group member IDs and Passwords will be needed to complete and maintain the reservation
  7. To complete the reservation, the second/third group member needs to “join” your group by clicking on your incomplete booking for the same day, time, and room
  8. Select the appropriate group name and click on “Create or Join a Group”
  9. Fill in all fields (as above)
  10. Once the appropriate numbers of ID/Passwords have been entered, the reservation is complete!


Booking Guidelines
  1. Your student ID can be used only once per day to a maximum of 20 bookings per term.
  2. Bookings are available for a maximum of 2 hours per day.
  3. Bookings can be made one day in advance.
  4. Bookings for tomorrow will open at 10:00 A.M. today.
  5. Bookings cannot be created five minutes before the start time.
  6. You cannot “join” or “cancel” a booking 30 minutes before the booking start time.
  7. When a group completes a booking, all incomplete reservations associated with the same time/room are voided. If your reservation has been voided, you may re-use your student ID to reserve or complete a booking for the same day.
  8. Your Library Account must be in good standing in order to reserve a room.
  9. The booking system will not accept passwords longer than 10 characters and all characters must be alphanumeric.
Room use Guidelines
  1. It is the intent of the system to set the maximum for a single group’s bookings to 4 hours/day for group study rooms. Attempts to monopolize rooms will be considered a breach of the Building Use Guidelines. The library reserves the right to cancel bookings and /or suspend booking privileges in violation of this, or any other library guideline.
  2. Bookings may be forfeited for rooms occupied by fewer than the required number of persons to book the room.  
  3. If a room is vacant 15 minutes after the booking start time, the group’s entire booking is void and the room is free for use until the next group’s reservation.
  4. Please do not try to reposition any equipment (camera, microphone, TV screens, projector, smart board etc.) and please do not unplug or remove any preexisting cords or cables.
  5. Students using the rooms are responsible for any damage that may occur.
  6. Eating in rooms may result in suspension of room booking privileges.
  7. Photo ID is required for the loan of equipment from the Circulation desk.
  8. The Recording Room is intended for individuals to record audio and visual projects. This room is for audio and video recording only.
  9. Please be mindful of noise levels as the space is not sound proof.
  10. The group study rooms are intended for “organized groups”; individuals should not join a group unless they have a prior affiliation with that group - the original booker is the “owner” of the booking and can ask any “joiners” to leave the booking or the room.
